How we quote a journey and what the price covers

We do not publish one price list for everything, because passenger transport does not work that way — a night airport transfer, a wedding and a regular staff shuttle are priced quite differently. What follows is exactly how we work out a price and what affects it. The actual figure we give you on the phone, usually during the call.

Quotes are free and carry no obligation

Give us the route, the date and the number of passengers and we will work it out while you wait. The price you hear is the final price — nothing is added once the journey is over.

Three ways we charge

When quoting we calculate all three and offer whichever is cheaper for your route. That is not generosity — for any given journey pattern one model simply comes out better.

1. Per kilometre

A rate based on distance. Best for A-to-B journeys where the driver does not wait at the destination — airport transfers and one-off trips. The longer the route, the lower the per-kilometre rate.

2. Per hour

The minibus and driver are at your disposal for an agreed period, and the number of journeys within it does not matter. The best choice when there are several trips around the area in one day: conference support, a filming day, a wedding with several return runs.

3. Fixed fare for the route

One amount for the whole journey, agreed before departure and independent of how long the driving actually takes. Traffic or a diversion does not change it. We use this most often for transfers and international trips.

What is included

Whichever model applies, the quoted amount always covers:

  • the 9-seater LONG-wheelbase minibus,
  • fuel for the entire route,
  • the driver's time and work,
  • third-party, comprehensive and passenger accident insurance for the journey,
  • pick-up at the address you give us,
  • VAT — we quote gross prices, meaning what you actually pay.

What we quote separately

Some costs cannot honestly be built into a rate in advance because they depend on the specific route. We always raise them when quoting, not on the invoice:

  • road and tunnel tolls — mainly on international routes,
  • paid parking zones — when the minibus has to wait on site for a longer period, for example in central Gdansk, Sopot or Gdynia,
  • ferry charges — on some international destinations,
  • driver accommodation — on multi-day trips,
  • a second driver — on very long routes where driving-hours rules do not allow one driver to cover the distance.

What actually moves the price

  • Distance — the per-kilometre rate falls on longer routes.
  • One way or return — an empty return leg still costs us, which is why return journeys are proportionally cheaper.
  • Waiting time — whether the driver waits on site or comes back for you later.
  • Date — peak season and Saturdays need booking further ahead.
  • Regularity — for ongoing company work we set a fixed rate, considerably better than one-off pricing.

Payment

We accept cash or bank transfer. For companies we issue a VAT invoice — for ongoing work, one invoice per settlement period. Transfer details are in the footer and on the contact page.

Common questions about price

Can the price change after I book?

No. The amount quoted at booking is final. If the scope changes during the journey — an extra stop, a longer wait — we tell you at the time rather than adding it to the invoice afterwards.

Is fuel included?

Yes. The price covers the minibus, fuel for the whole route, the driver's work, third-party, comprehensive and passenger accident insurance, and pick-up at your address. We quote gross prices — what you actually pay.

What exactly is charged separately?

Road and tunnel tolls, paid parking zones where the minibus waits for a longer period, ferry charges, driver accommodation on multi-day trips, and a second driver on very long routes. All of these are discussed when we quote, before you confirm.

Is a return trip simply double the price?

No. An empty return leg costs us either way, so a return journey works out proportionally cheaper than two separate one-way trips.

Do you issue VAT invoices?

Yes. We accept cash or bank transfer, and for companies we issue a VAT invoice — for ongoing work, one invoice per settlement period.

Can I pay in euros?

We accept both PLN and EUR. Agree the currency when booking so the quoted amount is unambiguous.

Why there is no fixed price list here

Because any honest table would need so many exceptions that it would stop meaning anything. The same route midweek and on a Saturday in wedding season are two different situations; so are a one-way trip and one where we wait on site. Rather than publish a "from" price that applies to nobody, we would rather work it out properly and give you a figure that will not change before the journey ends.
